How to Use This Printable
- A week or two before the trip, fill in an estimate for each category.
- Base the gas estimate on the route distance, your vehicle's mileage, and current prices.
- Log actual spending each night from receipts and card activity.
- Compare Actual to Estimate halfway through and adjust the rest of the trip if a category is running hot.
Estimating gas accurately before you go
Dividing the round-trip mileage by the vehicle's miles per gallon and multiplying by the expected price per gallon gives a far more reliable Gas estimate than guessing a flat number.
Checking in halfway through the trip
Comparing Actual to Estimate at the trip's midpoint, rather than only at the end, leaves real room to ease off spending on the back half if the front half ran over.
Keeping an untouched emergency buffer
Funding the Emergency Buffer row and treating it as off-limits unless something actually breaks down keeps a real mechanical or medical surprise from derailing the rest of the trip's budget.
Ideas for Using This Printable
- Keep an emergency buffer row funded and untouched unless something breaks.
- Pack a cooler for some meals to keep the food row down.
- Withdraw a set amount of cash for souvenirs so that row has a hard limit.

FAQ
- How do I estimate gas?
- Divide the round-trip miles by your vehicle's miles per gallon, then multiply by the price per gallon you expect to pay.
- Is this for one trip or the whole summer?
- One trip. Print a fresh copy for each, or use the Vacation Budget Planner for a longer flight-based trip.
- Does this work for a trip with multiple stops or destinations?
- Yes, the categories total for the whole trip regardless of how many stops it includes; add notes next to a category if a specific stop drove an unusual cost.
- Should lodging include camping fees, not just hotels?
- Yes, log whatever the actual lodging cost was, hotel, campsite fee, or a mix across the trip, under the Lodging row.
- What if gas prices change significantly during a long trip?
- Update the Actual column with the real price paid at each fill-up; the estimate is just a planning starting point, not a fixed number.
