How to Use This Printable
- List every item the party needs down the first column.
- Set an estimated cost for each, then fill in the actual once you have bought or booked it.
- Write who is covering each item so nobody double-buys and nobody is out of pocket.
- Total the actual column at the end and settle up if costs were shared.
Assigning items instead of guessing shared costs
Having each guest take responsibility for one line item, rather than pooling cash and hoping the total works out, makes both the planning and the final cost split far more straightforward.
Setting a per-person cap first
Agreeing on a rough per-person spending cap before filling in estimates keeps the party's scope realistic from the start, rather than adjusting down after costs are already committed.
Keeping the sheet as a template
A finished Galentine's or themed party sheet becomes a ready starting list for the next similar gathering, since the categories, space, food, drinks, decorations, rarely change much between events.
Ideas for Using This Printable
- Ask each guest to take one line, so the planning and the cost are spread evenly.
- Set a per-person cap first and work the estimates backward from it.
- Keep the sheet for next year as a ready-made starting list.

FAQ
- Is this only for Galentine's?
- No. It works for any small themed party: a birthday brunch, a book club night, a baby shower. Only the title is seasonal.
- How do we split shared costs fairly?
- Total the actual column, divide by the number of people sharing, and compare that to what each person actually spent. The last column is there to note who owes or gets back.
- Do we need all 8 rows filled in?
- No. Leave any row blank that doesn't apply, like Games or Activity or Party Favours for a simpler gathering, and use the Other row for anything not already listed.
- Can one person just cover a whole category instead of splitting it?
- Yes. List that person alone in Covered By for that row, and leave it out of the split, the Owes / Gets Back column only needs to track the rows that are actually shared.
- What if one guest wants to cover more than their share?
- Note the adjusted amount in the Owes / Gets Back column so the final settle-up still reflects what everyone actually agreed to and paid.
